B.Ent Group, LLC ("StewardRing," "we," "us," or "our") operates the StewardRing application and website (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Service.

Please read this Privacy Policy carefully. By using the Service, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

2.1 Personal Information

We may collect personally identifiable information, including but not limited to:

  • Name and contact information (email address, phone number)
  • Account credentials
  • Billing information and payment details
  • Business name and address
  • Profile information

2.2 Sign in with Apple

When you choose to sign in with Apple, we receive your Apple ID, your name (if you choose to share it), and your email address. Apple may provide your real email address or a private relay email address (e.g., an @privaterelay.appleid.com address) depending on your preference. This data is used solely for account creation and authentication purposes. We do not use your Apple ID or Apple-provided information for any purpose other than identifying and authenticating your account.

2.3 Call and Communication Data

As a telecommunications service, we collect:

  • Call logs (caller ID, call duration, timestamps)
  • Voicemail recordings and transcriptions
  • SMS/MMS message content and metadata
  • Call recordings (when enabled by you)

2.4 Device and Usage Information

We automatically collect:

  • Device type, operating system, and unique device identifiers
  • IP address and general location
  • App usage patterns and feature interactions
  • Crash reports and performance data

3. How We Use Your Information

We use the collected information to:

  • Provide, maintain, and improve our Service
  • Process calls, messages, and voicemails
  • Generate AI-powered call transcriptions and summaries
  • Send service-related notifications

4. Data Sharing and Disclosure

We may share your information with:

  • Service Providers: Third-party vendors who assist in providing our Service (cloud hosting, payment processing, AI transcription)
  • Telecommunications Partners: Carriers and providers necessary to route calls and messages

  • Business Transfers: In connection with a merger, acquisition, or sale of assets

We do not sell your personal information to third parties for marketing purposes.

5. Third-Party Services

We use the following third-party services to operate and improve StewardRing. Each service may receive limited data as necessary to perform its function:

  • Telnyx — Provides telephony and VoIP services, including call routing, phone number provisioning, SMS/MMS messaging, and SIP connectivity.
  • OpenAI — Powers AI-driven transcription of voicemails and call recordings, as well as AI-generated call summaries.
  • Vapi — Provides the AI receptionist feature, handling automated call answering and routing on your behalf.
  • Clerk — Manages user authentication, including sign-up, sign-in, session management, and OAuth integrations (such as Sign in with Apple and Google).
  • Supabase — Provides database hosting (PostgreSQL) and file storage for voicemail recordings, hold music, and other user-uploaded content.
  • Sentry — Captures error reports and performance monitoring data to help us identify and fix issues in the application.
  • Expo — Delivers over-the-air app updates and push notifications to the StewardRing mobile app.

Each third-party service operates under its own privacy policy. We encourage you to review the privacy practices of these services. We only share the minimum data necessary for each service to perform its intended function.

6. Data Security

We implement appropriate technical and organizational security measures to protect your data, including:

  • Encryption of data in transit and at rest
  • Secure authentication mechanisms
  • Regular security assessments
  • Access controls and audit logging

However, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.

7. Data Retention

We retain your personal information for as long as your account is active or as needed to provide services. Call logs and recordings are retained according to your account settings. You may request deletion of your data at any time, subject to legal retention requirements.

Depending on your location, you may have the right to:

9. California Privacy Rights (CCPA)

California residents have additional rights under the California Consumer Privacy Act, including:

  • Right to non-discrimination for exercising privacy rights

10. Do Not Sell My Personal Information

In accordance with the California Consumer Privacy Act (CCPA) and other applicable privacy laws, StewardRing does not sell, rent, or trade your personal information to third parties for monetary or other valuable consideration. We have not sold personal information in the preceding 12 months and have no plans to do so in the future.

11. Data Breach Notification

In the event of a data breach that compromises your personal information, StewardRing will notify affected users within 72 hours of becoming aware of the breach. Notification will be provided via the email address associated with your account and, where appropriate, through in-app notifications.

Our breach notification will include a description of the nature of the breach, the types of data involved, the steps we are taking to address the breach, and recommendations for actions you can take to protect yourself. We will also notify the relevant regulatory authorities as required by applicable law.

12. VoIP and E911 Limitations

StewardRing provides internet-based calling (Voice over Internet Protocol, or VoIP) services. VoIP services have important differences and limitations compared to traditional landline or cellular telephone service that you should be aware of:

  • 911 Emergency Services: VoIP-based 911 (E911) may have limitations. Your call may not be routed to the nearest emergency center, and your location information may not be automatically transmitted to emergency responders. You must ensure your registered address is current and accurate in your account settings for E911 to function properly.
  • Internet Dependency: VoIP calls require an active internet connection (Wi-Fi or cellular data). If your internet connection is unavailable, unstable, or experiences latency, call quality may be degraded or calls may not connect at all.
  • Power Outages: Unlike traditional phone service, VoIP services will not function during power or internet outages unless backup power and connectivity are available.
  • Location Accuracy: Because VoIP calls are made over the internet, location information provided to emergency services may not reflect your actual physical location, especially if you are using the service from a location different from your registered address.

By using StewardRing, you acknowledge these limitations and agree that StewardRing shall not be liable for any failure to connect to emergency services or for inaccurate location information provided to emergency responders. We strongly recommend maintaining an alternative means of accessing traditional 911 emergency services.

13. Children's Privacy

Our Service is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If you believe we have collected such information, please contact us immediately.

14. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Your continued use of the Service after changes constitutes acceptance of the updated policy.
